Key Responsibilities:
- Greet and Welcome: Be the first point of contact for clients and visitors, creating a warm and professional first impression.
- Manage Calls: Efficiently handle incoming calls, direct them to the appropriate departments, and take accurate messages when necessary.
- Appointment Coordination: Schedule and manage appointments, ensuring a smooth flow of meetings and events.
- Administrative Support: Assist with various administrative tasks such as data entry, filing, and maintaining office supplies.
- Customer Service: Address inquiries, resolve issues, and provide information with a positive attitude.
- Mail Handling: Sort and distribute incoming mail, and prepare outgoing mail and packages.
- Office Maintenance: Ensure the reception area is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
Qualifications:
- High School Diploma or Equivalent: Additional qualifications in Office Administration are a plus.
- Experience: Proven experience as a receptionist or in a similar role is preferred.
- Communication Skills: Exceptional verbal and written communication skills.
- Professionalism: Strong interpersonal skills with a friendly and approachable demeanor.
- Multitasking Ability: Capable of handling multiple tasks simultaneously in a fast-paced environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers and fax machines).
- Problem-Solving Skills: Quick thinker with a proactive approach to problem-solving.
