Job Title: Maintenance Coordinator
Location: Ruimsig, Johannesburg
Employment Type: Full-Time
Salary: R8,000 – R10,000 per month (Depending on Experience)

About the Role

As a Maintenance Coordinator, you will be the driving force behind the seamless management of property maintenance requests. From tenant-reported issues to final resolution, you will ensure smooth communication between tenants, landlords, and contractors, keeping everything on track and within budget. This role requires exceptional organizational skills, critical thinking, and a systematic approach to managing multiple tickets at once.


Key Responsibilities

1. Maintenance Ticket Management

  • Receive and log maintenance requests from tenants.
  • Advise landlords on necessary repairs and obtain approval before proceeding.
  • Assign contractors, ensuring they receive all necessary tenant details and job specifications.
  • Review contractor quotes critically—is the cost justified? Are there any red flags in pricing?
  • Obtain final approval from landlords before green-lighting work.
  • Confirm completed work with tenants, ensuring their satisfaction with the repair.
  • Upload photos, invoices, and relevant documents onto the system for record-keeping.
  • Process invoices for month-end payments, ensuring all contractor fees are accurate and approved.

2. System-Driven Workflow & Communication

  • Use pre-populated email structures to streamline communication.
  • Ensure that every ticket follows the full lifecycle from issue to resolution.
  • Manage outstanding maintenance cases, especially those requiring long-term follow-ups.
  • Keep landlords and tenants informed at every step, ensuring clarity and transparency.

3. Critical Thinking & Attention to Detail

  • Recall specific maintenance issues instantly using keyword references (e.g., “Has the window been repaired at [Property Name]?” should trigger instant recognition).
  • Evaluate contractor quotes critically—would you approve this cost if it were coming from your own pocket?
  • Maintain a professional, structured, and logical approach to email communication, ensuring clarity in maintenance procedures.
  • Identify discrepancies in invoices, such as excessive labor costs or overpriced materials.

Preferred Age Range

🔹 23 – 35 years old (based on required decision-making skills and life experience).

Education & Experience

🎓 Previous experience in maintenance coordination, property management, or a related field is highly advantageous.
🎓 Strong computer literacy with experience using CRM or maintenance management systems.
🎓 A background in logistics, administration, or operations is a plus.
